Tour Coordinator & Traveler Liaison
Job Location: At our offices in Annapolis, MD, USA
Position: Part-time, Mon – Thur, 20 hours a week
This position is an employee position (W-2) responsible for booking the arrangements for assigned tours. This person will interface with the Tour Leader who escorts the travel, and communicate with travelers before the tour (appox: 14 - 22 travelers) to ensure they have provided their required information.
Responsibilities:
- Research and make hotel and activity reservations for each assigned tour
- Manage room blocks, rooming lists, and other lodging arrangements for each assigned tour
- Reserve group activities for each assigned tour
- Make and track payments to tour suppliers and hotels for each assigned tour
- Correspond with travelers for each assigned tour, primarily by email
- Prepare written summary of travel arrangements for both travelers and Tour Leader for each assigned tour
- Conduct pre-tour and post-tour briefings with Tour Leader for each assigned tour
- Recommend changes for the improvement of each assigned tour based on traveler and Tour Leader feedback
- Manage up to 20 tours departing over a 12-month period
Qualifications:
- Ability to prioritize and multitask
- Self-starter personality with strong decision-making skills
- Ability to proof-read
- Solid web-based research skills
- Must be familiar with Microsoft Office
- Ability to learn specialized software used by the company
- Excellent written and verbal communication skills
- Strong attention to detail
- Strong organizational skills
Tour Director
Location: Various domestic & international destinations
Position Type: Contract / Travel-Based
We are seeking experienced, dynamic, and highly-organized Tour Directors to guide WTT group trips. This position is the face of WTT on the ground, ensuring execution of itineraries, fostering a welcoming group environment, and handling logistics with professionalism and care.
Responsibilities:
- Coordinate with hotels, local guides, and vendors to ensure smooth operations
- Facilitate group activities and encourage a positive, inclusive atmosphere
- Address traveler questions, concerns, and special needs promptly
- Handle unexpected issues calmly and efficiently
